Situation: Our company’s clients were not receiving key communications via Gmail.
Messages were either being routed directly to spam or silently dropped. This caused
confusion among clients and internal teams, yet no one was actively investigating the
issue.
Task: Even though I was in a technical support role and this problem was technically
outside my responsibilities, I recognized the risk this posed to the business. Drawing on my
past experience managing mail servers and hardening infrastructure in my own systems
administration work, I set out to identify the cause.
Action: I reviewed our mail headers and performed tests across various email providers.
Gmail alone flagged our emails. Based on that pattern, I suspected a misconfiguration in
our domain’s email authentication setup. I validated that we lacked proper SPF, DKIM, and
DMARC records, critical DNS entries that help establish trust with recipient mail servers
like Gmail. I prepared a concise, technical report and respectfully escalated my findings to
the head of system administration.
Result: My analysis was confirmed accurate. The admin team implemented the missing
DNS records, which restored deliverability to Gmail and improved our sender reputation.
The issue had gone undetected by others for weeks, but was resolved within 48 hours of my
intervention. This not only reinforced my credibility with engineering staff, but showed that I
could spot systemic issues, think critically, and operate well beyond the boundaries of a
traditional support role.
